How to Automatically Add School Emails to Your Calendar
School sends a lot of email. The newsletter from the principal, the teacher's weekly update, the coach, the PTA, the field trip form. Somewhere inside each one is a date you are expected to remember. Most parents end up copying those dates onto a calendar by hand, late at night, and still miss one.
Here is how to stop doing that, from the free fixes to the automatic one.
Why school dates get missed
School dates rarely arrive as calendar invitations. They arrive as a sentence in the middle of a long email: "Reminder that Friday is an early release day." Your email app does not treat that as an event, so nothing reaches your calendar unless you put it there. Multiply that by two or three kids and a few activities, and something slips.
Option 1: Subscribe to the school calendar
Many districts publish a calendar you can subscribe to from Google, Outlook or Apple Calendar. Look on the district or campus website for "calendar" and a subscribe or iCal link. This is worth doing. It covers holidays, breaks and big district events.
What it will not cover: the teacher's email about the science project, the coach's schedule change, the class party sign-up. Those only live in your inbox.
Option 2: Set up an email folder or label
Create a rule that sends mail from the school's domain into its own folder. Then set aside ten minutes a week to go through it and add dates. It is free and it works, as long as the ten minutes actually happens every week.
Option 3: Let an app read the emails for you
This is what SmartCal Pro does. You connect your Gmail, Outlook or Apple Mail inbox with a secure sign-in, so the app never sees your password. It reads new mail, finds the important dates in it, and puts them on your Google, Outlook or Apple calendar with a reminder.
You stay in control. Detected dates wait for you under Events, where you approve the ones that belong on your calendar and dismiss the ones that don't. If you would rather skip that step, turn on Auto Add and they go straight on.
A simple setup for a busy family
- Subscribe to the district calendar for holidays and breaks.
- Connect the inbox that school emails go to.
- Connect the calendar the whole family already looks at.
- Set a reminder that gives you enough warning to act, like the night before for a form or two days before for a costume.
The short answer
Subscribe to the school calendar for the big dates, and let SmartCal Pro pull the rest out of your email. Your first week includes every Power User feature, so you can see what it finds in your own school emails before you decide.
