How to Add Events From Outlook Email to Your Calendar Automatically

If you use Outlook, you have probably noticed that some emails turn into calendar events by themselves and most do not. Here is why, and how to get the rest of your important dates onto your calendar without copying them.

What Outlook already does

Outlook can add certain confirmations to your calendar automatically, such as some travel and reservation emails from companies that format their messages in a way Outlook recognizes. You can check this setting in Outlook under the calendar options for events from email.

It is useful, but narrow. It depends on the sender, not on what the email says.

What it misses

  • A client writing "Can we move our call to Thursday at 2?"
  • A contract renewal date in the middle of a vendor email
  • A deadline in a message from your manager
  • An appointment reminder from a small local office

None of these come from a big company with a special format, so none of them reach your calendar on their own.

Option 1: Drag the email onto your calendar

In Outlook on the desktop you can drag a message onto the calendar icon to create an event from it. You still have to set the date and time yourself, and you still have to remember to do it.

Option 2: Build a flow

Automation tools can watch for certain emails and create events. They work best when the emails always look the same. Real email does not, so these flows tend to need fixing.

Option 3: Let an app read for dates

SmartCal Pro connects to your Outlook inbox with a secure Microsoft sign-in, reads new mail, and finds the important dates in it, whoever sent them. It adds them to your Outlook calendar, or to Google or Apple if that is where you live, with a reminder attached.

Found dates wait for your approval under Events, or go straight on if you turn on Auto Add. Calendar sync is two-way, so your existing Outlook events show up in SmartCal Pro and new ones go back.

The short answer

Keep Outlook's built-in feature on for reservations, and let SmartCal Pro catch the dates that come from people. You can try it free for a week with every Power User feature turned on.
